This Privacy Policy describes how Ospis AI Ltd ("Ospis", "we", "us") collects, uses and protects personal data when you use our platform, marketing site, or speak with our team. We are the data controller for this site and a data processor for the personal data your agency processes inside Ospis.

1. What we collect

Account information you provide (name, work email, agency, role).
Property and tenant data your agency uploads or imports.
Usage data (pages visited, features used, device and browser metadata).
Communications between you and our team.

2. How we use it

To provide, maintain and improve the Ospis platform.
To respond to enquiries and provide support.
To meet legal, accounting and security obligations.
With your consent, to send product updates relevant to your role.

3. Lawful basis

We process personal data under the UK GDPR on the bases of contract, legitimate interest, legal obligation, and (where required) consent.

4. Sharing

We share personal data only with sub-processors necessary to operate the service (cloud hosting, AI providers, email infrastructure, analytics). A current list is available on request and in our DPA.

5. Retention

We retain personal data for the duration of your contract with us and for the period required by law thereafter. Tenant and property records inside the platform are deleted on customer request following our data deletion procedure.

6. Your rights

Under the UK GDPR you have the right to access, rectify, erase, restrict, port, and object to processing of your personal data, and to lodge a complaint with the ICO. To exercise any right, contact us via the address below.
